Privacy Policy
Last updated: 3 September 2026
In short: MyDocVault is local-first. It has no advertising, does not track users across apps or websites, and does not require a MyDocVault account. Documents leave the device only when the user chooses a feature that requires it, such as iCloud synchronization, sharing, or separately authorized third-party cloud AI.
1. Who this policy covers
This policy describes how Hukup Australia, the trading name through which MyDocVault is provided (“we”, “us”, or “the developer”), handles information through the MyDocVault applications and this website. The MyDocVault pages and email are hosted on the 9 Rivers domain; Hukup Australia and 9 Rivers are associated with the same ABN. Contact us at [email protected].
2. Information MyDocVault handles
Depending on what a user imports, scans, or enters, documents and derived metadata may contain names, addresses, contact details, account or reference numbers, financial figures, dates, health-related information, legal information, tax information, and other sensitive or personal content. The app also stores user-created taxonomy, filing choices, learned mappings, reminders, favorites, history, settings, and technical library identifiers.
MyDocVault uses this information to provide scanning, OCR, classification, review, filing, naming, search, reminders, synchronization, recovery, and user-requested AI processing. We do not use document content for advertising, cross-app tracking, or sale.
3. Local processing and storage
In local-only mode, documents, metadata, taxonomy, and learned information remain on the user’s device and in folders the user selects. Apple Vision OCR, deterministic extraction, Natural Language/Core ML fallback processing, and available Apple on-device intelligence run using system or bundled capabilities. Local AI on Mac can connect to a local-network endpoint selected and configured by the user.
4. Optional iCloud synchronization
If the user enables cross-device synchronization, document files may be stored in the user’s iCloud Drive. Permitted metadata—including catalogue records, settings, taxonomy, learning, reminders, audit history, device information needed for sync, and reset signals—may be stored in the user’s private CloudKit database. Apple processes that information under the user’s Apple Account and Apple’s terms and privacy policy. Local-only use does not require CloudKit.
5. Optional artificial intelligence
Available Apple on-device Foundation Models process supported input on the device. A separately configured local-network AI service receives permitted input at the endpoint the user chooses. Third-party cloud AI is off by default, requires separate authorization and a user-supplied credential, and sends permitted extracted text or metadata to the selected provider solely to return requested classification or extraction results. Sensitive categories are blocked from third-party cloud AI by default, although a user may explicitly override a warning. See the AI and Data Processing Disclosure.
6. Credentials
Supported third-party AI credentials are stored in the macOS Keychain. They are not intentionally included in the MyDocs library, app backups, CloudKit catalogue, or diagnostic exports. Users can remove a credential in AI Settings.
7. Permissions
| Permission | Purpose |
|---|---|
| Camera | Capture document pages when the user starts a scan. |
| Files and folders | Import, store, organize, preview, share, archive, and recover files in locations selected by the user. |
| Notifications | Deliver local due-date and expiry reminders enabled by the user. |
| iCloud | Provide optional cross-device document and metadata synchronization. |
| Local network | Connect to an optional local AI service explicitly configured by the user. |
| Face ID or Touch ID | Protect access to the app when app lock is enabled; biometric templates are handled by the operating system and are not received by MyDocVault. |
8. Sharing and disclosures
MyDocVault does not sell personal information. Information may be processed by Apple when iCloud, operating-system intelligence, or App Store services are used; by a third-party AI provider only when the user authorizes that option; by a local AI endpoint selected by the user; or by recipients the user deliberately shares files or diagnostics with. We may disclose information if legally required, but the developer does not operate a MyDocVault document server in the current version.
9. Diagnostics and support
The app can generate a diagnostic report at the user’s request. It is designed to exclude API keys, OCR text, controlled-field values, and document contents. Document names can be masked. The user previews and chooses whether to share a report. Email sent to support is retained only as reasonably necessary to respond, secure the service, and meet legal obligations. Users should not send unredacted documents or credentials.
10. Retention and deletion
Local information remains until the user deletes documents or records, resets the library, removes app data, or uninstalls the app. iCloud information remains until removed through MyDocVault or the user’s Apple services. A provider’s retention follows that provider’s configuration and policy. Detailed instructions are available on the Data Deletion page.
11. Security
MyDocVault uses platform sandboxing, user-selected file permissions, App Groups, Keychain, and Apple cloud security controls where applicable. Users should protect devices and Apple Accounts, maintain backups, and review access granted to local or cloud providers. No system can guarantee absolute security.
12. Children
MyDocVault is a general-purpose productivity utility, is not designed to create profiles of children, and does not knowingly collect information from children for advertising or marketing. A parent or guardian should supervise a child’s use where required by applicable law.
13. International processing and rights
Apple, an AI provider, or an email provider may process information in countries described by its own policy. Depending on applicable law, users may have rights to access, correct, delete, restrict, or object to certain processing. Because the current app has no developer-operated account or document server, most app information is controlled directly on the device, in the user-selected folder, in the user’s iCloud account, or in the optional provider account.
14. Changes and contact
We may update this policy when the app or law changes. Material changes will update the date and may require renewed in-app acknowledgement. Privacy questions or requests can be sent to [email protected].
